Privacy Policy
How we collect, use and protect your personal data — and the data of junior members — under the General Data Protection Regulation (GDPR).
Last updated: 4 July 2026. This is the plain-language privacy notice for the Kempen Cricket Club website and membership. It should be reviewed by a data-protection adviser before final publication.
1. Who we are
Kempen Cricket Club VZW ("KCC", "we", "us") is the data controller responsible for your personal data. We are a non-profit sports association based at Violetstraat 9, 2440 Geel, Belgium (company number KBO 1039.026.584). 2. What data we collect
- When you contact us — your name, email, and the content of your message.
- When you register as a member — name, date of birth, contact details, address, membership category, emergency contact, and any relevant medical information you choose to provide.
- For junior members (under 18) — the above is provided and managed by a parent or guardian, together with the guardian's contact details (see section 6).
- Payments — membership fees are handled by our payment provider, Mollie. We receive confirmation of payment and status; we never see or store your full card or bank details.
- Website use — limited technical and, with your consent, analytics data via cookies (see our Cookie Policy).
3. Why we use it and our legal basis
- To run your membership — administering registration, teams, training and fees. Legal basis: performance of our membership contract with you.
- To operate the club — communicating essential information, organising sessions and matches. Legal basis: our legitimate interest in running the club.
- Photos, newsletters and any sharing of medical information — only with your specific, separate consent, which you can withdraw at any time.
- Legal and accounting obligations — keeping the records the law requires. Legal basis: compliance with a legal obligation.
4. Who we share it with
We do not sell your data. We share it only where necessary with: our payment provider (Mollie) to process fees; our hosting provider (Microsoft Azure, within the European Union) to run the website and secure database; and, where you join an affiliated competition, the relevant cricket federation. Any provider acting on our behalf is bound to protect your data and use it only on our instructions.
5. Where your data is stored and how we protect it
Your data is stored on Microsoft Azure servers located in the European Union (West Europe region). We protect it with encryption in transit and at rest, role-based access controls, and access logging. Only authorised club officers can see membership data, and only for the purposes above.
6. Children's data
We take particular care with the data of minors. In Belgium the age of digital consent is 13. For members under that age, a parent or guardian provides and consents to the processing of the child's data on their behalf. We collect only what is needed to let a child take part safely, and we never require a photo of a child. Where a photo is stored at all, it is only with a parent or guardian's explicit, separate consent (see also our Safeguarding Policy).
7. How long we keep it
We keep membership and financial records for as long as you are a member and for the period afterwards required by Belgian accounting and tax law. Data we no longer need is deleted or anonymised. Consent-based data (such as newsletter sign-up) is kept until you withdraw consent.
8. Your rights
Under the GDPR you have the right to access your data; to correct it; to have it erased; to restrict or object to its use; to data portability; and to withdraw consent at any time where we rely on consent. To exercise any of these, email contact@kempencricket.be and we will respond within one month.
If you believe we have not handled your data properly, you can complain to the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données), Drukpersstraat 35, 1000 Brussels — www.gegevensbeschermingsautoriteit.be.
9. Cookies
Our website uses a small number of cookies. Non-essential cookies (such as analytics) are only set with your consent. Full details are in our Cookie Policy.
10. Changes to this policy
We may update this policy as the club grows or the law changes. The date at the top shows the latest version. Significant changes will be communicated to members.
